Position Summary: The Records Management Analyst helps to ensure domestic and international admissions processing is completed efficiently and accurately, and that each admission application is reviewed based on the admissions standards set forth by the university. This position is responsible for ensuring the integrity, accuracy and safekeeping of electronic data and other records by coordinating storage, retrieval, usage, and records retention. This position reports to the Associate Director of Admissions
Duties & Responsibilities: Aid in processing Undergraduate, Grad, ESL, Exchange, and Graduate applications when necessary Process all incoming documents, official and unofficial, scanning them to the appropriate places or indicating their arrival on the student's checklist Process and assist with admissions application for both domestic and international processing Process all incoming documents, official and unofficial, scanning, or pulling from Triand, and other related CRM systems Assists in the collection of official documents upon student arrival and domestic and international holds removal when necessary Checking audits/queries/reader in the admission CRM to ensure items are being processed in an effective and efficient manner Research foreign credentials for the purpose of finding accreditations, grading scales, transfer equivalency, etc. Responsible for the collection of official documents upon student arrival and removal of holds Participate in cross training of other admission analysts' departments, when necessary, aid in processing other admission roles as needed Other duties as assigned Knowledge/Skills/Abilities: Knowledge of statewide information system computer operations Knowledge of designated data system functions Knowledge of record management systems and retention policies and procedures Knowledge of federal laws and regulations and state directives, policies, and procedures surrounding privacy and record maintenance Ability to analyze, evaluate, and recommend records systems flow
General Days/Hours: Monday - Friday 8:00 a.m. - 5:00 p.m. Additional hours as requested and/or needed Regular and reliable attendance Some weekends and nights may be required for travel or events

Minimum Qualifications: The formal education equivalent of a High School Diploma Three (3) years of experience in records management, administrative support, or a related field Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
