Oregon State University Department : Office of the Registrar(XUS) Appointment Type: Classified Staff Job Location: Bend Recommended Full-Time Salary Range: Job Summary: This recruitment will be used to fill one full-time Program Representative 1 position for the Officeof the Registrar at Oregon State University (OSU).
This position is located at the Oregon State University-Cascades campusin Bend, Oregon.

The Program Representative 1 (Scheduler) position,located at Oregon State University-Cascades, is responsible for a wide range of tasks related to the creation of the schedules for coursesand classrooms. This position is located at OSU-Cascades, is a member of the Scheduling Team in the Office of the Registrar at OSU-Corvallisand will have the primary responsibility for coordinating the development of class sections and classroom schedules for OSU-Cascades.Collaboration and communication are important aspects of this position as the Scheduler frequently interacts with faculty, academicadvisors, and Enrollment Services staff. The Scheduler is responsible for accurate and complete entry of information in the Banner SIS,CourseLeaf Section Scheduler (CLSS), CollegeNet 25Live Pro, and Schedule25 Optimizer. Accuracy is imperative as term schedules arefundamental to critical processes in the Office of the Registrar, university departments, and enterprise data and reporting systems. Successin this position includes the ability to pivot quickly within an ever-changing environment; comfort with ambiguity and flexibility areimportant. Why OSU? Key Responsibilities 40% Course Scheduling Buildterm course schedules and coordinate room scheduling processes with Central Schedule Desk (Corvallis). Review departmental requestsfor course sections ensuring requests meet course scheduling requirements. Identify course space and equipment needs ensuringproper scheduling of courses for the campus. Identify and resolve, with faculty, conflicts for room facilities adhering todeadlines and consideration of priority registration. Communicate deadlines and timelines to faculty and academic advisors andmonitor progress to meet deadlines. Advise department faculty and staff on scheduling protocols and requirements, evaluatingrequests for conformity with university scheduling protocols and practices. Assist faculty and staff with issues, offeringsolutions to scheduling and room assignment conflicts. Respond to departmental requests for modifications, instructing and advisingon submission procedures, monitoring adherence to university scheduling requirements. Advocate for the scheduling model andrequirements informing faculty and staff how they contribute to course access and efficient and effective room usage. Edit onlineschedule of classes and any publications containing course information, ensuring accuracy. Create and run scheduling queries toensure data integrity for courses, sections, and events. In coordination with Central Schedule Desk, schedule rooms as required forfinals week. Manage course schedule change requests, referencing established policies and procedures, collaborating with AssistantRegistrar - Scheduling to determine appropriate action for requests that impact student registration, (e.g., course cancellations, change incourse days/times, and courses requiring override for student registration). Articulation of Office of the Registrar services,policies and procedures related to registration deadlines, mid-term and final examinations, grade submission, student learning experiencesurvey of instructors, and instructor activation and access to course proposal software, etc. Verify completion of Banner training,granting faculty and teaching assistants access to Banner as a secondary security manager for TA and instructor roles. 40%- Classroom Scheduling Analyze departmental schedules verifying compliance with zone scheduling parameters. Responsible for classroom scheduling, interfacing with applicable software, understanding the capabilities and limitations of systems,and the integration of 25Live/Optimizer with Ellucian Banner data. Schedule queries in 25Live Pro, checking for sections withmissing room assignments and cross-lists, room conflicts not identified by other systems such as Banner. Determine necessary actionbased on data differences between 25Live Pro and Banner. Periodically check interface to ensure bad data in Banner or disconnect onthe interface database, is not interfering with 25Live processes. Correct issues in Banner or adjust room capacity in 25Live Pro. Assist with research and interpretation of data quality issues, communicating problems to Assistant and/or Associate Registrar forreview and development of solution to improve data quality. Review and schedule rooms for non-instructional/special campus events.Initiate contracts and insurance requirements for non-OSU room rentals. Support classroom usability by completing FacilitiesServices work orders as needed. 15% - Space Analysis and Maintenance Projection of future OSU-Cascadesinstructional space and design needs. Annually or as requested, create space utilization and classroom needs projection reports. Collaborate with departments such as Media Services and Facilities Services, ensuring classroom technology and equipment are availableand operational. Responsible for inventory of classroom equipment, specific classroom attributes, technological enhancements,classroom seating, etc. Engage with faculty and staff to address obstacles to policy and procedure adherence, creating a plan forimprovement. Provide recommendations to Associate Registrar-CCS, for maximizing use of existing space and room configurations foraccommodating future needs. Responsible for ensuring maximum utilization of classrooms. Quarterly analysis report, demonstratingadherence/non-adherence to classroom scheduling policies. Present results to Assistant Registrar, Associate Registrar, University Registrar,and other interested parties. 5% - Other duties as assigned As necessary, assist the Central ScheduleDesk Team with Corvallis campus, LaGrande campus, Ecampus credit and non-credit course scheduling. On occasion, assist other unitswithin the Office of the Registrar and OSU-Cascades with university programs and activities as directed by the supervisor. Participate in university or professional organization staff development activities or conferences. Assist with annualOSU-Cascades commencement related activities and ceremony, as required. What You Will Need Experience providingexceptional customer service in a variety of modalities with the confidence to act when critical situations arise. Experienceinterfacing with large systems or enterprise software and databases. Ability to analyze complex issues and situations, identifyingalternative solutions, forecast of consequences and recommendation of an effective course of action. Excellent written and verbalcommunication skills, with the ability to explain policies, procedures, and regulations. Experience with the Microsoft Officesuite. Demonstrated experience managing deadlines and priorities during periods of high activity. Experience with dataanalysis, including use of information to identify errors, optimize program processes and potential enhancements and efficiencies in programworkflows. Experience with Leepfrogs CourseLeaf systems (CLSS, CIM, CAT, PATH). Experience with CollegeNet Series25products (25Live Pro, S25 Optimizer) or other event management software. Experience with a student information system, (e.g.,Ellucian Banner, Colleague, etc.). Experience with enterprise data reporting systems (e.g., Argos, Cognos, etc.).
