Job Description: We are seeking a dedicated and organized Office Manager to join our team and contribute to the smooth operation of our office. The Office Manager will be responsible for a variety of administrative tasks, ensuring efficient office procedures, and providing support to staff and stakeholders. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment as a team player.Responsibilities:
Administrative Support:
Manage office operations, including answering phones, monitoring door entry system, greeting visitors, responding to emails, and handling correspondence.Maintain office supplies inventory and ensure adequate stock levels.Coordinate meetings, appointments, and travel arrangements for staff and executives.Assist with the preparation of reports, presentations, and other documents.Assist staff and run errands as needed. Facilities Management:Assist in the maintenance, organization, and cleanliness of the office space.Liaise with building management and vendors for repairs and services.Ensure office equipment is in good working condition and arrange for repairs or replacements as needed. Financial Administration:Assist with budget management, including tracking expenses.Process invoices, reimbursements, and payments in a timely manner.Work closely with the finance team to maintain accurate records and documentation. Human Resources Support:Assist with recruitment activities, including posting job openings and scheduling interviews.Coordinate onboarding and orientation for new hires.Maintain employee records and assist with HR-related inquiries. Event Coordination:Support the planning and execution of events, meetings, and community engagements.Coordinate logistics, including venue booking, catering, and audiovisual requirements.Provide on-site support during events as needed. Requirements:Ideally, experience as an Office Manager, Administrative Assistant, or similar role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.Excellent organizational and time management skills.Strong attention to detail and accuracy.Excellent communication and interpersonal abilities.Ability to multitask and prioritize tasks effectively.Experience in event planning or coordination is preferred.
