Position Summary This recruitment will be used to fill three part-time (a maximum of 24 hours per week) OSU GO Office Assistant positions for the OSU Global Opportunities at Oregon State University (OSU).
In order to meet our goal of providing life-changing international experiences for our students, OSU Global Opportunities relies on dedicated and talented student employee as part of our team. Student Administrative Assistants partner with OSU GO staff members to perform critical work that is essential to the running of a dynamic and busy study abroad office. Students can expect to develop strong professional skills including networking, presentation, information and project management.

CORE DUTIES : All student team members will be responsible for a range of administrative tasks. These include entering and tracking student information in our online application management system, managing the submission of applications and supporting documents, and handling confidential information. They will be involved in coordinating outreach events and orientations, interacting with their peers, faculty, and other members of the OSU community. They will also monitor the general email inbox for material submissions and student questions.

All applicants will be considered for the Core Duties position. In addition, students with relevant experience may request consideration for one of the two following specialized roles:

MARKETING SUPPORT : Students in this role will carry core duties and will assist with the development and maintenance of a number of web, print, social media, and in-person outreach and marketing initiatives to support the unit. This position involves a high degree of communication, creativity, excellence in writing, accuracy in proofreading, organizational skills, and skill in designing eye-catching, informative materials.

FINANCIAL SUPPORT : Students in this role will care out duties and will assist with tracking and reconciling expense charges, creating cost information for students, processing payments and preparing financial reports. This position involves a high degree of numeracy and accuracy.

Position Duties CORE Position Duties:
60% Administrative Duties:
Update website content. Electronic file management and data entry, photocopying, scanning, uploading electronic documents. Communicate with students about deadlines and missing information. Schedule meetings, class visits, internationally-focused workshops and program information sessions, and take care of event logistics (room bookings, catering, outreach, etc.). Monitor the general informational email inbox, process incoming forms and submissions, distribute inquiries to appropriate staff. Perform data entry in Terra Dotta application platform, assist with data analysis and support Terra Dotta Super User with projects as needed. Communicate with students as needed, and with guidance from supervisor/OSU GO staff.
20% Event and Outreach Support:
Assist with organizing and promoting study abroad and international internship outreach events, including preparing for welcome week, information fairs and orientations, fielding student inquiries. Support welcome activities for incoming international exchange students. Develop and maintain PowerPoint presentations, information handouts and other materials for outreach. Administer surveys and compile results. Special Projects (Marketing/Financial Support):
20%+ Special Projects: other duties as assigned.
These will include Marketing and/or Financial support duties for students in those specific positions. For some student employees, these duties may represent the majority of their workload, as dictated by their skills and OSU GO needs. Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment Must meet the applicable minimal enrollment standard High School student: Regularly enrolled in a high school or participating in a home-schooling program Undergraduate and post-baccalaureate student: 6 credit hours per term Undergraduate international student: 12 credit hours per term* Graduate student officially admitted to Graduate School: 5 credit hours per term Graduate international student officially admitted to Graduate School: 9 credit hours per term* International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center. Additional Required Qualifications Students must be available 10-12 hours/week, during the academic year, and occasionally on weekends. Some students may be offered an opportunity to work up to 40 hours/week in the summer.

Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months Preferred (Special) Qualifications Experience with Excel and/or Adobe Creative Suite Previous clerical or outreach experience Enthusiasm for international/intercultural experiences

For Marketing Support: Previous Experience with online web design, social media and print programs Experience with developing and executing marketing campaigns For Financial Support: High degree of accuracy in reviewing financial data and transactions Experience with spreadsheets and/or business practices.
