JOB SUMMARY
The Office Administrator is responsible for administrative duties relating to the Human Resources function as well as the administrative duties for the US operations of MMRI.  The OA also is responsible for maintaining the integrity of documentation and of the infrastructure of processes to ensure consistency and risk management. This position works in the office Monday - Friday.  ESSENTIAL DUTIES AND RESPONSIBILITIES Office Duties Responsible for incoming and outgoing mail including shipping needs Process COI requests within a 24-hr time frame Coordinate meetings, appointments, and schedules for the department Coordinate with Edge Effect for all IT requests Ensure online filing systems are maintained and current including continuous monitoring of new employee documentation as well as terminated employees Monitor office supplies inventory Prepare operational reports, as requested, to ensure efficiency Perform review and analysis of special projects and keep the management properly informed Adhere to office policies and procedures Ensure security, integrity, and confidentiality of data Maintain a safe and secure working environment Vendor Management Manage relationships with vendors and service providers for cost savings and ensuring that all items are invoiced and paid on time. Asset management of Company Cell Phones Onboarding Assist with pre-hire candidates and onboarding procedures for new employees Communicate with candidates throughout the onboarding process Accounts Payable/Receivable Responsible for coding invoices, allocation of major expenses and sending to A/P for processing in a timely fashion Responsible for monthly credit card reconciliation for all Management by ensuring all receipts are accounted for throughout the month for submission to corporate accounting team Employee Relations Manage travel arrangements for management and staff for all branches Perform employee terminations including sending proper communications Manage birthday and anniversary recognition on a monthly basis Design quarterly newsletter for company distribution while encouraging participation from employees and branches. Assist HR Manager in the planning and execution of company events Recruitment Facilitate the hiring of qualified job applicants for all open positions. Work closely with all branch managers and HR Manager to understand the needs of their branches and any required job openings. Coordinate pre-employment drug screening and background checks. Payroll Assist Human Resources Manager with biweekly payroll processing. Serve as backup payroll processor and answer employee questions regarding PTO balances, paycheck issues, etc. Office Administration Process Certificates of Insurance on an as needed basis, manage travel arrangements for all personnel, code invoices and send to Accounts Payable in a timely fashion and assist with credit card reconciliation. First Report of Injury Act as first point of contact for any work-related injury, accident or illness. Compile appropriate documentation to initiate a Worker's Compensation case (if applicable). *All other duties as assigned to advance the mission of the department and MMRI
