Essential Job Functions:
Schedules fingerprinting and background checks for employees. Collects designated fees and prepares receipts for fingerprinting and background checks. Assist with organizing and maintaining supplies for fingerprinting terminal and badge station. Ensures identity verification, accuracy of entries into the computerized system and capture of fingerprints. Maintains a wide variety of files and records (manual/computer; confidential/non-confidential) (e.g. applicant files records, etc.) through Talent Ed. for the purpose of providing documentation in accordance with administrative and legal requirements. Respond promptly and professionally to user inquiries, concerns, and issues via various communication channels, such as email, chat, phone, and ticketing systems. Collaborate with HR colleagues and other WSD departments to ensure smooth departmental operations. Handle sensitive and confidential information with discretion and maintain strict confidentiality. Responds to inquiries for the purpose of resolving login issues to employee programs (Employee Online, AESOP, DUO, etc) as well as technical issues and providing direction. Assists other personnel for the purpose of supporting them in the completion of their onboarding process. Communicate technical information in a clear and understandable manner to non-technical users. Provide prompt and patient assistance to users experiencing login difficulties. Help users reset passwords, recover usernames, and troubleshoot login errors. Address user inquiries and problems related to system navigation, features, and functionalities. Assist in creating user guides, tutorials, and training materials to help users effectively navigate and utilize products or services. Administer the process of creating, distributing, and managing identification badges for employees, contractors, and visitors. Ensure that ID badges are produced accurately and in compliance with company policies and security standards. Administer and maintain access control systems, which may include keycard or other technologies. Provide assistance to employees and visitors who encounter issues with their ID badges or access control systems. Education and Experience A High School Diploma or equivalent. One (1) to two (2) years of related secretarial experience. A minimum of 3 years experience with school district systems is preferred. Working Conditions, Physical Requirements, and Abilities The job requires light physical exertion including walking, standing, and other forms of light physical activity. Attendance at work is essential. This position works in an office environment. Performs other duties and tasks as assigned by the supervisor. Must be willing to fingerprint applicants and employees. Accuracy and attention to detail is critical in every aspect of the job. Ability to provide outstanding customer service to employees in person and via phone. Ability to communicate effectively with others both verbally and in writing. Ability to operate computers, google suite, etc. as well as small office equipment, including copy machines or multi-line telephone systems. Ability to collaborate effectively.
