Summary: The role of the Financial Secretary is to receive, record, and deposit all funds received by the church in a timely, thorough, and confidential manner. The Financial Secretary also generates various reports for church staff and the congregation and works with the Director of Operations, Treasurer, and Bookkeeper to ensure that funds collected are accurately recorded and deposited so that the funds can be made available to support the ministry of the congregation.
Responsibilities of the Position The Financial Secretary works according to the guidelines established by the Committee on Finance to receive funds from whatever source, record them using the church's software database, and report them to the church Treasurer and to the church Bookkeeper.The Financial Secretary deposits cash and checks in the bank as soon as possible after they are received.The Financial Secretary keeps records, whenever possible, of how much money is given by whom and reports amounts received to the appropriate people (see details in the next bulleted item).The Financial Secretary also:Works with the weekly counters (two each week) to ensure monies are counted accurately, assigning the proper designation for different donations.Prepares monthly giving reports to send to the Bookkeeper, Director of Operations, and Lead Pastor.Prepares and sends mid-year and end of year giving statements to all donors. Additional statements may be requested on a quarterly basis.Records and tracks pledges during the annual generosity campaign. This report must be shared with the Lead Pastor.Creates and/or modifies specific funds as requested by the Director of Operations, Lead Pastor, or Treasurer.Prepares and sends acknowledgement of all in-kind donations.The Financial Secretary helps ensure that the financial records are in good order for an annual audit.Skills and Qualifications: Skills and experience for this position are financial record keeping; ability to keep detailed, accurate records and maintain appropriate confidentiality; passion for financially supporting the mission of making Christian disciples for the transformation of the world; ability to work with individuals and ministry teams.The Financial Secretary also needs to be proficient in QuickBooks, MS Excel, Word, Outlook and web techniques.The Financial Secretary is also required to have the following attributes:Demonstrated effective level of oral and written communication skills.Demonstrated ability to multi-task.Demonstrated ability to manage conflict appropriately.Reports to: Director of Operations and Lead Pastor.
