We are seeking a highly organized and proactive Executive Assistant to support our senior executive team, specifically the SVP of Asset Management & Property Operations, and VPs of Property Operations and Human Resources. This role demands a commitment to handling complex administrative tasks with discretion and a high level of professionalism. Key Responsibilities
Administrative Support: Provide daily administrative support to our executive team, including managing schedules, arranging travel, and preparing expense reports.
Communication Management: Handle telephone and electronic communications with tact and discretion. Serve as a liaison among executives, staff, clients, and external partners.
Event Coordination: Plan and execute internal and external meetings and events, manage logistics for on-site and off-site venues, and prepare necessary materials.
Document Preparation and Management: Prepare, format, and maintain key documents and records. Ensure compliance with organizational policies.
Project Coordination: Support and manage special projects, coordinating efforts across departments to ensure smooth execution.
Qualifications
Bachelor's degree preferred; significant relevant experience may substitute for education.
At least 9 years of general administrative experience, with a minimum of 3 years in an executive support role.
Prior experience in the hospitality industry or a similar field with multi-location operations is highly advantageous.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and Microsoft Teams.
Skills and Abilities
Exceptional organizational and project management skills, capable of managing multiple priorities simultaneously.
Strong communication skills, adept at preparing detailed corporate communications and comfortable interacting with a variety of stakeholders.
High emotional intelligence, with the ability to work independently and maintain confidentiality.
Strong detail orientation and a proactive "no job is too small" mentality.
Capable of working effectively in a fully remote setting with minimal distractions.
Work Environment and Physical Demands
This is a fully remote role requiring a suitable home office setup. Regular use of communication tools like telephone and email is essential.
Physical demands include extended periods of sitting and the regular use of office equipment. Minimal physical exertion; occasional lifting of up to 10 lbs may be required.
Travel Requirements
Travel is minimal and is not expected to exceed 15% of the time.
Employment Type: Full-Time
Salary: $ 75,000.00 Per Year
