Job Title: Data Administrator Department: Second Chance Center Reports to: Data & Compliance Manager Effective Date: January 7, 2024 FLSA: Salary exempt Job Summary: The data administrator is responsible for managing and organizing data assets. This position is responsible for the oversight, development, and implementation of programmatic data systems as well as the use of CaseMGR and external databases to provide vital information on the impact of the organization's work with clients. This position will work in collaboration with the management and leadership teams to ensure program viability and data success measures are accurately captured. They actively participate in collaborative planning including team meetings, trainings, and more.
Additionally, they work with program and care managers to ensure that data (case notes, activities, assessments, etc.) are being entered correctly and in a timely manner. The data administrator will strive to make the users' interaction with the software as smooth and logical as possible. This position plays an integral role in the overall development of the organization. This is a remote position where the employee will be required to work from home minimum of 20 hours per week. The remote position is conditional upon compliance with SCC's Work from home policy and may be modified based on company needs.
Duties/Responsibilities: • Collaborate with Program Managers and Department Directors to ensure necessary feedback and evaluation tools are implemented.
Evaluating system performance and design, as well as its effect on data quality. · Enable, make updates to, and disable the features and functionality of internal databases.
Run data queries to determine data quality issues and to identify and interpret trends. Make suggestions on procedures, policies, and programs that will improve SCC based upon data analysis as well as ways to improve CaseMGR user and reporting experience Manage individual User Accounts. Make sure each account has the appropriate level of access in the software and update as staff change. Create a workflow, cheat sheet, manual and/or informative materials to support users on SCC's configuration of CaseMGR. Conduct demonstrations for new functionalities Integrate the duties of the users with the needs for internal performance management reporting and external funder reporting. Communicate this through continuous training and review. Adjust periodically if review demonstrates misalignment. Design reports or determine which standard reports best provide the necessary information to determine if CaseMGR is being used efficiently. Review workflow and service delivery process and how they are connected to CaseMGR data entry and review. Periodic Audit of the structure of CaseMGR. Performing statistical tests on large datasets to determine data quality and integrity. Build and review reports for quality, accuracy and timeliness of case notes, activities and outcomes/impacts. Check for gaps in data, quality of case notes and supporting documents. Stay connected and educated about CaseMGR features and functionalities. Collaborate with database developers to improve data collection and storage processes. Required Skills/Abilities: Advanced knowledge of CaseMGR and its capabilities Knowledge of the organization; understanding the programs, services, funding streams etc. Experience with and comfort with technology along with the ability to learn new software quickly Successful completion of CaseMGR Administrator training program Demonstrated ability to process data reports in a timely manner. Previous experience working with multiple database systems. Experience generating reports to capture data trends and to drive process improvement strategies. Ability to effectively communicate and work easily with a wide variety of people Ability to establish priorities in an environment of competing demands Attention to detail and an ability to manage multiple projects Commitment to SCC's mission and the principals of diversity, equity, and inclusion Education, Experience and Preferred Skills/ Competencies are as follows: · 3+ years of relevant experience working in data entry and system administration
Related undergraduate degree or equivalent experience Previous data analysis and quality assurance experience Experience in evaluating system performance and design Physical Requirements: Prolonged periods of sitting at a desk and working on a computer Ability to stand for long periods of time while facilitating training While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands and fingers to handle or feel objects, tools, or controls. Reach with hands and arms, climb stairs, talk, or hear. The employee must occasionally lift or move office products and supplies up to 20 pounds. Compensation: This is a part-time position or 20 hours per week. The pay range for this position is $22.00 - $25.00 per hour Competitive pay commensurate with education and experience.
