This Business Assistant position is housed in the Department of Nutrition, Dietetics, and Food Sciences and is part of the College of Agriculture and Applied Sciences. Incumbents in the Business Assistant series use knowledge and related experience to coordinate business functions for the Department of Nutrition, Dietetics, and Food Sciences. Incumbents initiate, complete, and facilitate financial, personnel, travel, and other functions as assigned. The Business Assistant will report to the Business Manager of Nutrition, Dietetics and Food Sciences Department. This classification has no supervisory responsibilities.
Attaches receipts for department P-card purchases. Prepares travel arrangements and documents in accordance with policies and procedures. Makes purchases in accordance with University policies and practices. Receives payments and prepares deposits for various departmental products and services. Reviews and reconciles financial records. Coordinates and attends various meetings. Prepares invoices and requests payments. Maintains files for review or audit. Generates reports. Develops and maintains spreadsheets and databases to track information. Prepares and signs various documents such as contracts, agreements, and claims. Assist in carrying out office duties, act as backup to the in answering questions for those who walk in the office, and managing FedEx shipments/deliveries. Performs miscellaneous job-related duties as assigned. Minimum Qualification: Two years of related work experience; or an associate degree/technical training in a related field. Preferred Qualification: Experience with Excel and other Microsoft Office products Knowledge, Skills, and Abilities Knowledge of accounts payable procedures. Knowledge of accounts reconciliation and ability to reconcile accounts. Knowledge of purchasing policies and practices for a public institution. Skilled with computer programs, including spreadsheets, and relational databases. Skilled with basic office equipment, including printers, copiers, and telephone systems. Good organizational skills. Ability to handle sensitive and confidential business data and personal information. Ability to work without supervision. Knowledge of University policies and procedures.
