Billing Assistant
We are a national firm comprising over 1000 legal and business professionals spread across sixteen markets. Currently, we're seeking a Billing Assistant to join our dynamic team. As a Billing Assistant, you will play a crucial role in supporting our attorneys, business professionals, and clients by managing billing and accounts receivable inquiries with a focus on efficiency and timeliness.
Key Responsibilities:
- Prioritizing client service as our topmost commitment, both internally and externally.
- Handling the prebill to final bill process, which involves preparing and distributing prebills monthly, ensuring accuracy, facilitating time and expense transfers, editing bills, and managing time and disbursement write-offs.
- Assisting in editing bills using Microsoft Word when necessary.
- Providing attorneys with necessary information, including bill/payment histories and explanations for expense charges.
- Addressing basic discrepancies and resolving e-billing submission rejections and errors.
- Utilizing ARCS for e-billing activities, rate approvals, and write-off requests.
- Generating and revising basic spreadsheet reports.
- Assisting in mailing and emailing bills and statements monthly, as well as corresponding with clients to facilitate payment of delinquent accounts.
- Collaborating with the E-billing Team to ensure successful data submission.
- Resolving client-billing issues promptly and managing accounts receivable delinquency with excellent customer service.
- Identifying billing and account delinquency issues and escalating when necessary.
- Following up on payment arrangements with attorneys and other relevant personnel.
- Regularly communicating with attorneys and other team members regarding past due accounts.
- Entering data from the New File Opening queue.
- Supporting client accounting email communications.
Requirements:
- A college degree or equivalent experience coupled with a high school diploma.
- Preferred background in a law firm or professional services environment.
- Two or more years of experience specializing in client accounting is preferred.
- Strong interpersonal skills to maintain effective relationships with attorneys and business professionals.
- Attention to detail with a commitment to accuracy.
- Ability to effectively present information to clients and colleagues.
- Knowledge of Aderant Software is advantageous.
- Proficiency in Microsoft Office products such as Word, Excel, and Outlook.
