Job Summary: The Department of Medicine is recruiting an Administrative Assistant to provide administrative support for the Education team. Reporting directly to the Assistant Director of Education, the Administrative Assistant will support the Vice Chair for Education, the Director of Education Innovation and Scholarship, the Residency Program Director, and other members of the leadership team.
The incumbent will coordinate logistics for meetings and will facilitate effective communication between education team members and others within and outside DOM. Responsibilities include scheduling meetings, purchasing food and supplies, booking travel, submitting reimbursements, and providing administrative support for committees.
The individual hired will interface regularly with faculty, staff, trainees, and students. Successful candidates will have outstanding organizational skills, attention to detail, excellent communication skills, flexibility, and the ability to prioritize multiple competing demands. They will need to work independently, manage confidential information, and provide excellent customer service. A high level of professionalism is required.

Responsibilities: Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision 35% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations 15% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities 15% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums 15% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision 20% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures Institutional Statement on Diversity: Diversity is a source of strength, creativity, and innovation for UW-Madison. Qualifications: One year of previous administrative support experience required
Proficient in Microsoft Office and Google Suite required
Experience working in a health care environment or academic medical center preferred

Work Schedule: Monday - Friday between the business hours of 8am-5pm. The exact schedule will be determined at the time of hire.

Work Type: Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary: Minimum $20.00 HOURLY

The starting pay rate for the position is $20 per hour but is negotiable based on experience and qualifications.
