Job Description:
Key Responsibilities:
1. Invoice Processing: Manage the full cycle of accounts payable operations, including receiving, reviewing, coding, and processing invoices accurately and in a timely manner.
2. Vendor Management: Establish and maintain positive relationships with vendors, responding to inquiries, resolving issues, and ensuring timely payment processing.
3. Reconciliations: Conduct regular reconciliations of accounts payable transactions to ensure accuracy and completeness, investigating and resolving any discrepancies as necessary.
4. Payment Processing: Coordinate and execute the payment process, including scheduling payments, preparing checks or electronic transfers, and ensuring adherence to payment terms and deadlines.
5. Expense Reporting: Assist in the preparation of expense reports, ensuring compliance with company policies and procedures.
6. Month-End Close: Support month-end and year-end close processes by providing accurate and detailed accounts payable reports and reconciliations.
7. Process Improvement: Identify opportunities to streamline accounts payable processes, improve efficiency, and enhance controls to mitigate risk.
8. Compliance: Ensure compliance with relevant regulatory requirements and internal controls related to accounts payable operations.
9. Team Collaboration: Collaborate with cross-functional teams, including finance, procurement, and other departments, to support organizational goals and initiatives.
10. Management: This role will be responsible for overseeing an Accounts Specialist Junior, collaborating with them to ensure that assigned vendors are maintained and invoices are all processed in a timely manner.
Qualifications:
1. Bachelor's degree in Accounting, Finance, or related field preferred.
2. Proven experience (3+ years) in accounts payable or related finance role, with a focus on process management and vendor relations.
3. Strong understanding of accounting principles and practices, with proficiency in GAAP.
4. Proficiency in accounting software (e.g., Great Plains, Oracle, QuickBooks) and Microsoft Excel.
5. Excellent analytical and problem-solving skills, with a keen attention to detail.
6. Effective communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.
7. Ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
8. Experience in process improvement initiatives and project management is a plus.
9. Demonstrated leadership qualities with the ability to mentor and coach junior team members.
Schedule:
Mon-Fri 8:30 AM- 5 PM
Compensation:
$20-26/hour
Job Types: Full-time
Expected hours: 40 per week
