Full job description The Position Michael Best is seeking an Office Services Supervisor for our Milwaukee office. This position requires 40 – 45 hours a week on-site at the Milwaukee office, Monday-Friday between the hours of 7:30am to 4:30pm. In addition, the Office Services Supervisor will spend one some time in our Waukesha location. On occasions, additional hours (earlier mornings or later in evenings) may be required for specific events, projects, or initiatives.
The Office Services Supervisor manages day-to-day office activities, ensuring all office services deliverables are executed in an efficient and timely manner. The Office Services Supervisor must enjoy providing efficient, gracious, and professional customer service to timekeepers, support staff and clients/visitors.
What You'll Be Doing General office and clerical responsibilities: monitor phones, order office supplies, process mail/FedEx Facilities management – ensuring office is tidy, well-maintained and everything is operational; escalating issues as needed and/or submitting and tracking requests with landlord; managing day-to-day vendor operations Inventory and monitor office supplies as well as order and stock items Administer catering services for various events including monthly lunches for the Milwaukee and Waukesha offices, happy hours and special events Work with Administration and Operations Manager (AOM) for office space planning and facilities requests and ensuring offices are ready for incoming new hires In conjunction with Receptionist, set up, tear down, and clean/sanitize conference rooms for meetings In conjunction with Receptionist, assist with coordination, set up and breakdown of office events Ensure visitor offices are stocked, tidy and ready for each visitor; assist incoming colleagues with tech setup in visitor offices Provide back-up to Receptionist for breaks, lunch or when out of office as well as on busy days, including greeting and directing visitors and notifying Firm's personnel of guest arrival Serve as the 'right hand' to the location's AOM and Office Managing Partner (OMP) Completing and submitting expense reports Help maintain a positive office culture Other clerical and administrative duties as assigned Job Requirements: Knowledge Base & Education: High School Diploma (or equivalent) minimally required; higher diploma or degree preferred At least 4+ years combined experience in customer-service, administrative support or facilities management role with prior experience in a professional services office setting preferred Proficiency in MS Office programs, including typing and proofing skills Technology literacy and willingness to learn new technologies and software Adaptability: Ability and willingness to work in the office five days per week Ability to learn and embrace new skills and best practices as the position evolves and Firm needs change Ability to work quickly and accurately under pressure and varying deadlines Ability to work well independently as well as effectively within a team Ability to multi-task, set priorities, manage time effectively and exhibit excellent follow-up Strong organizational skills with excellent judgment and attention to detail Collaboration: Team player mentality with a desire to be a part of a collaborative and high-performing group Ability to develop relationships and foster teamwork at all levels of the Firm Communication: Exceptional communication skills via phone, email and in-person Excellent interpersonal skills and ability to work effectively with a diverse group of internal and external clients, attorneys, and staff Ability to manage confidential information and sensitive situations with tact and discretion Problem Solving Skills: Ability and confidence to identify and analyze issues, make decisions, and initiate actions/solutions Ability to respond to unexpected challenges, including proactively developing innovative solutions to complex problems while maintaining a professional demeanor Professionalism: Professional demeanor Ability to maintain composure and demonstrate good judgment Other: Valid authorization to work in the U.S. The Company This is an opportunity to work with the Best .
